This policy explains what personal data Energy Culture collects, why, and what rights you have. We keep it short and plain.
Who we are
Energy Culture is a trading name of PACS NCL LTD (company no. 12638292), registered office The Annexe, Thanes Farm, Motcombe, Shaftesbury, SP7 9LE, United Kingdom. We are the controller of your personal data. Contact: energyculture.co@gmail.com.
What we collect
- When you book a free call: your first name, email address, what feels hardest for you right now and how you heard about us.
- When you take our free quiz: your answers, your first name and email address, and whether you agreed to hear from us by email.
- When you message us on WhatsApp, Instagram or by email: your name, contact details and what you write to us.
- If you become a client: the information you share during coaching (for example goals, habits, measurements and, only with your explicit consent, health information). We explain this separately before coaching starts and ask for your consent.
Why we use it, and our legal basis
- To reply to you and arrange your free call: steps taken at your request before a possible contract, and our legitimate interest in answering enquiries.
- To provide coaching: performance of our contract with you. Health information is used only with your explicit consent, which you can withdraw at any time.
- To send you emails after the quiz: your consent, which you can withdraw at any time (every email has a way to unsubscribe, or just write to us).
- To keep basic business and tax records: legal obligation.
We don't sell your data, we don't send marketing emails without your consent, and we don't make automated decisions about you.
Who helps us
We use a few trusted services that process data for us: Tally (forms, EU), Cloudflare (website hosting), Google (our email), Meta (WhatsApp and Instagram, if you contact us there), a food logging app (clients only) and Stripe (payments, clients only). Some of these may process data outside the UK; where they do, they rely on recognised safeguards such as the UK adequacy regulations or standard contractual clauses.
How long we keep it
If you don't become a client, we delete your enquiry and quiz answers within 12 months, or sooner if you ask. If you do, we keep your coaching information for up to 2 years after our work together ends, and business records for as long as the law requires.
Cookies
This website does not use advertising or analytics cookies. The booking form and the quiz (Tally) may use strictly necessary cookies to work. Fonts are stored on our own server, so no data goes to Google when you visit.
Your rights
You can ask to access, correct or delete your data, to restrict or object to how we use it, to receive a copy, and to withdraw consent at any time. Just email energyculture.co@gmail.com. If you're unhappy with how we handle your data, you can complain to the UK Information Commissioner's Office (ico.org.uk) or to the data protection authority in your country.
